Privacy Policy

Hoop Hub PH is an independently operated basketball platform based in Quezon City, Philippines. This policy explains how personal data is handled when you visit or use Hoop Hub PH.

1. Scope

This Privacy Policy applies to the Hoop Hub PH website, accounts, dashboards, league-management tools, game operations, public basketball records, and support communications. It is intended to follow the Philippine Data Privacy Act of 2012 and applicable issuances of the National Privacy Commission.

2. Information we process

Depending on how you use Hoop Hub PH, we may process:

Account information: name, email address, authentication details managed by our authentication provider, assigned role, account status, and account-related communications.
Basketball profile information: player or coach name, team, league, jersey number, position, height, profile photo, roster status, game attendance, lineup information, and similar basketball records.
Competition information: schedules, scores, standings, brackets, game events, play-by-play records, statistics, disciplinary or approval status, and operator assignments.
Content and support information: team logos, announcements, applications, invitations, correction requests, and messages sent to support.
Security and technical information: session, device, browser, IP address, access, audit, email-delivery, and security logs generated by Hoop Hub PH or its service providers.

3. How we obtain information

Information may be provided directly by you or submitted by authorized league organizers, commissioners, coaches, team managers, scorekeepers, clock operators, or other authorized representatives. We also receive information automatically when the platform and its service providers generate operational and security logs.

4. Why we process information

We process information to:

create, authenticate, approve, secure, and administer accounts;
operate leagues, tournaments, teams, rosters, schedules, games, scoring, standings, statistics, and public basketball profiles;
review applications, invitations, approvals, corrections, disputes, and support requests;
send essential signup, password-reset, email-change, security, and service messages;
detect abuse, protect users, maintain audit records, troubleshoot problems, and improve the platform; and
comply with legal obligations and respond to lawful requests.

Depending on the context, processing is based on consent, steps taken at a user's request, performance of platform services, legitimate interests in safely operating basketball competitions, and compliance with applicable law.

5. Public basketball information

Hoop Hub PH is designed to publish selected competition information. Player names, team affiliations, jersey numbers, positions, profile photos, game participation, scores, schedules, standings, brackets, and basketball statistics may be visible publicly when submitted and approved for publication.

Authorized organizers, commissioners, coaches, and team managers must only submit information they are authorized to provide and publish. They are responsible for giving appropriate notice and obtaining any permission required from the player or, when the player is a minor, the player's parent or legal guardian.

6. Adults-only accounts and minors

Hoop Hub PH accounts are for persons who are at least 18 years old. A minor must not independently register for or operate an account.

A minor may appear in legitimate league, roster, game, photo, or statistical records only when an authorized organizer or team representative confirms that the required parent or legal guardian authorization has been obtained. A parent or legal guardian may request access, correction, restriction, or removal of a minor's personal data by contacting us. We may ask for reasonable proof of identity and authority before acting on the request.

7. When information is shared

Information may be shared:

publicly, when it forms part of an approved public basketball record;
with authorized league and team personnel according to their assigned roles;
with service providers that support hosting, database, authentication, email delivery, domain, and support operations;
when reasonably necessary to protect users, investigate abuse, enforce platform rules, or preserve platform security; and
when required by law, court order, or a valid request from a competent authority.

Hoop Hub PH does not sell personal data.

8. Service providers and international processing

Hoop Hub PH uses third-party providers, including Supabase for database and authentication services, GitHub Pages for website hosting, Resend for outgoing email, GoDaddy for domain services, and ImprovMX for incoming email forwarding. These providers may process information in countries outside the Philippines under their own terms and privacy commitments.

9. Retention

We retain information only for as long as reasonably necessary for the purposes described in this policy. Account and operational records may remain while an account, league, tournament, team, or game record is active. Certain competition, audit, security, backup, dispute, and legal records may be retained longer when reasonably necessary.

When information is no longer needed, we will take reasonable steps to delete, anonymize, or securely isolate it. Removal from active systems may not immediately remove information from encrypted backups, logs, cached pages, or copies lawfully retained by third parties.

10. Security

We use reasonable administrative and technical safeguards intended to protect personal data, including role-based access controls, database security policies, encrypted connections, restricted database access, administrator multi-factor authentication, security monitoring, and backups. No online service can guarantee absolute security.

11. Your privacy rights

Subject to applicable law, you may have rights to be informed; access your personal data; object to or withdraw consent for certain processing; request correction, deletion, blocking, or restriction; obtain data portability where applicable; lodge a complaint; and seek damages where legally available.

To exercise a privacy right, email support@hoophub.xyz. Describe your request and the account, team, league, player, or record involved. We may request reasonable verification to protect the person whose information is concerned.

12. External sites and resources

The website may load or link to services, images, or websites operated by third parties. Their handling of information is governed by their own privacy policies. Hoop Hub PH is not responsible for external websites that it does not control.

13. Changes to this policy

We may update this Privacy Policy as Hoop Hub PH develops or legal and operational requirements change. The current version and effective date will be posted on this page. Material changes may also be communicated through the website or account email when appropriate.
